Terms and Conditions For K West Spa
Guest access is subject to availability and Spa policies.
All guests must:
Complete any required health questionnaire.
Comply with all Spa rules and safety procedures.
Follow instructions provided by Spa team members.
Guests use all spa facilities, including the pool, sauna, steam room, and thermal experiences, at their own risk and should follow all safety instructions and signage.
Bookings & Attendance
Please arrive at least 15 minutes prior to your appointment. Late arrival may result in a reduced treatment time, with the full treatment charge still applicable. All treatments, consultations, recovery sessions, classes, and wellbeing experiences are subject to availability and advance booking requirements.
The Spa reserves the right to limit bookings during peak periods.
Appointment Cancellation Policy
We kindly request a minimum of 48 hours' notice for any cancellation or amendment to a booking. Cancellations made within 24 hours of the appointment time will incur a 100% charge of the booking value.
Health & Medical Conditions
Guests must disclose any relevant medical conditions, injuries, allergies, pregnancy, or health concerns prior to using facilities or receiving treatments. If receiving treatments a guest Intake form must be completed before their treatment.
Guests use all spa facilities, including the pool, sauna, steam room, and thermal experiences, at their own risk and should follow all safety instructions and signage.
The Spa reserves the right to refuse access to certain facilities, treatments, or experiences where considered necessary for health or safety reasons.
Guests should discontinue use of any facility immediately and notify a member of the Spa team if they feel unwell, dizzy, faint, or experience any discomfort.
These provide stronger protection from a health and safety perspective.
Guest Conduct
To preserve a relaxing wellbeing environment, all members and guests must:
Treat fellow guests and Spa team members with courtesy and respect.
Wear appropriate attire in all Spa areas.
Wear a robe when using the Spa Garden and Garden Lounge.
Refrain from co-working, business meetings, video calls, or disruptive activities within the Spa.
The Spa reserves the right to suspend or terminate access for anyone displaying abusive, aggressive, inappropriate, unsafe, or disruptive behaviour.
Facility Availability
Facilities, services, or areas of the Spa may occasionally be unavailable due to:
Planned maintenance.
Essential repairs.
Private events.
Operational requirements.
Circumstances beyond the Spa's reasonable control.
Where possible, reasonable notice will be provided.
Gym Rules
When using the gym:
Appropriate fitness clothing and clean training footwear must be worn.
Equipment must be used safely and as instructed.
External personal trainers are not permitted without prior written approval.
Health, Safety & Hygiene
For the comfort, hygiene, and safety of all users:
a) Alcohol must not be consumed prior to exercise or use of the Thermal Experience. Access may be refused to anyone who appears intoxicated or under the influence of drugs.
b) Any member or guest displaying excessive alcohol consumption within the Spa may be asked to leave.
c) Showering before and after using thermal facilities, pools, sauna, steam room, and wellness areas is mandatory.
d) Food and beverages may only be consumed within designated areas such as the Garden Lounge and Spa Garden. Only food and drink purchased from the Spa or Hotel may be consumed on the premises.
e) Clothing, swimwear, towels, and personal belongings must not be dried or stored in the sauna or steam room.
f) Smoking, vaping, and the use of e-cigarettes are strictly prohibited throughout the Spa.
i) Individuals receiving medical treatment or with ongoing health concerns should consult their doctor before using Spa or gym facilities.
j) Members and guests must observe all safety notices, guidelines, and instructions issued by Spa employees.
k) Outdoor footwear and outdoor clothing are not permitted within the Thermal Experience pool hall.
l) Glass items are not permitted within the spa.
Personal Property
Members and guests are responsible for their personal belongings at all times.
The Spa accepts no liability for loss, theft, or damage to personal property unless caused by the Spa's proven negligence.
Photography & Social Media
Photography and filming are permitted only in designated areas and must respect the privacy and comfort of other guests and members.
Commercial photography, filming, influencer activity, or content creation requires prior written approval from Spa Management.
Liability
Guests use all facilities, treatments, wellbeing experiences, gym equipment, thermal facilities, Spa Garden, pools, and relaxation areas entirely at their own risk.
Nothing within these Terms & Conditions excludes liability where such exclusion is prohibited
by law.
Data Protection
Personal information will be processed in accordance with applicable data protection legislation and the Hotel Indigo London Shepherd's Bush Privacy Policy.
This may include:
Secure storage of personal data.
CCTV monitoring for safety and security purposes.
Marketing communications where consent has been provided.
Changes to Terms & Conditions
The Spa reserves the right to amend these Terms & Conditions from time to time.
